Whether you have outgrown your current office space or are moving into your first official office space, there are lots of things you need to do to ensure everything runs quickly and smoothly.

Moving an office while keeping your business flowing and productivity high, can be a tricky balance. You will have a lot to organise and set up, all your systems will need to be reinstalled, and you could find yourself in a complicated scenario unless you are organised and efficient. 

You need to set up a timeline. When you want to be in your office and operational, once you have this date, you will need to work backwards to ensure you have every job covered. Start by making a list of everything you will be moving from your old office into the new space. Then work out if this is something you can do or an area that you will need to hire an expert to help you with. 

If you have a business phone system, then you may need this to be set up to work with your new internet and telephone line. Speak to the company that fits your current system and let them know your move in date. Your phone line will be offline for a little while, so you might need to contact your customers to let them know. If you have an email database, shoot over a campaign to let them know you are moving and what services may be affected and for how long. Set up an email address so that your clients can contact you during the move. You can use social media to reach any clients that you don’t have on your system. 

You also need to make sure that your internet is installed and running well before you move to the new office. Contact the internet provider and find out what dates they can do. This could mean adjusting your operational date a little, to ensure there are no delays with your online system. 

Moving your furniture and files should be done the day before you want to be operational so that you have everything in place. It might be a good idea to do this after working hours to ensure your last functioning day in the old office is complete. Making sure you have everything you need to access on a cloud storage system, will keep your productivity levels high as you make your move. 

Don’t forget to update every one with your new address. All your invoicing will need to change to ensure your customers and suppliers know where to send information too. It’s incredibly important to update all your supplier information as you don’t want any orders to go missing once you have left the old address. Your customers should already know you are moving, but it’s a great idea to refresh them once you have the address and know you are on track and ready to start work.

There is no reason for your businesses to come across any issues when you move, providing you are organized and prepared for any hurdles you might have to climb.
